PRIVACY POLICY

Effective Date: October 21, 2026     Last Updated: October 21, 2026

reheat studios LLC ("reheat studios," "we," "us," or "our") runs a fitness studio at 90 N. Coast Highway, Suite 208, Encinitas, California 92024, and the website at reheatstudios.com (the "Site"). This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. It covers information we collect through the Site, our online booking and payment tools, our emails and text messages, and the studio itself.

Please read this Privacy Policy carefully. Our Terms of Use also apply to your use of the Site and our services. This Privacy Policy applies to our website and our mobile app.

1. Information We Collect

(a) Information you give us. We collect the information you give us when you create an account, book a class, buy something, sign a waiver or intake form, sign up for emails or texts, or contact us. This includes:

  • Contact information, such as your name, email address, phone number, and mailing or billing address.

  • Account and booking information, such as your login, the classes and services you book, your attendance, waitlist, and cancellation history, and your membership or class pack details.

  • Payment information. When you buy something, our payment processor, Stripe, collects your card number and billing details. We do not store your full card number. We may see limited details, such as the card type, the last four digits, and the expiration date.

  • Health and fitness information, such as injuries, medical conditions, pregnancy or postpartum status, and physical limitations that you choose to share with us on an intake form or waiver, or in person with an instructor.

  • Emergency contact information, such as the name and phone number of someone we can contact in an emergency.

  • Gift card information, such as the name and email address of a gift card recipient, if you buy a gift card for someone else.

  • Communications, such as messages you send us by email, text, social media, or through the Site, and your feedback or survey answers.

  • Marketing preferences, such as whether you have signed up for our emails or text messages.

  • Photos and videos of you, if you agree to be photographed or filmed (see Section 7).

(b) Information we collect automatically. When you visit the Site, we and our service providers automatically collect some information about your device and how you use the Site. This includes your IP address, browser type, device type, operating system, the pages you view, the links you click, the date and time of your visit, and the website that sent you to us. We collect this information with cookies and similar tools (see Section 5).

(c) Information from others. We may receive information about you from:

  • Our booking and payment providers, such as Mariana Tek and Stripe.

  • Social media and advertising platforms, such as Meta (Facebook and Instagram), when you interact with our accounts or ads.

  • A friend or family member who buys a gift card or class for you or refers you to us.

2. How We Use Your Information

We use personal information to:

  • Run the studio and provide our classes, memberships, class packs, light therapy, and other services.

  • Create and manage your account, process bookings, manage waitlists, and apply our cancellation policy.

  • Process payments, membership renewals, refunds, and gift cards.

  • Keep you and others safe. For example, we use information about injuries or conditions so instructors can suggest modifications, and we use your emergency contact if something happens during class.

  • Send you service messages, such as booking confirmations, class reminders, schedule changes, receipts, renewal notices, and changes to our policies.

  • Send you marketing emails and text messages, if you have signed up for them.

  • Answer your questions and respond to your requests.

  • Understand how people use the Site and improve the Site, our classes, and our services.

  • Prevent fraud, protect our rights and property, and enforce our Terms of Use.

  • Comply with the law, respond to legal process, and keep records the law requires.

3. Health Information

We ask about injuries, conditions, and pregnancy only so our instructors can keep you safe and suggest modifications. Sharing this information is your choice. If you do not tell us about a condition, we cannot take it into account.

We use health information only for your safety and to provide our services. We share it only with the instructors and staff who need it, with service providers that store it for us, such as our booking platform, and as described in Section 4(b) and (c). We do not use health information for marketing, we do not sell it, and we do not place advertising tools on the pages where you give it to us.

We are a fitness studio, not a health care provider. Our instructors are not doctors and do not diagnose or treat medical conditions. Health privacy laws that apply to doctors and hospitals, such as HIPAA, generally do not apply to us. We still treat your health information as sensitive and protect it as described in this Privacy Policy.

4. How We Share Your Information

We do not sell your personal information. We share it only as described below and in Section 5.

(a) Service providers. We share information with companies that help us run our business, such as:

  • Mariana Tek, which runs our online schedule, booking, accounts, and memberships.

  • Stripe, which processes our payments.

  • Squarespace, which hosts the Site, provides our site analytics, and sends our newsletter.

  • Google, which provides our email and security tools on the Site.

  • Meta, which runs our ads on Facebook and Instagram (see Section 5).

These companies may use your information only to provide services to us. They also have their own privacy policies.

(b) Legal reasons. We may share information if we believe in good faith that the law requires it, to respond to a subpoena, court order, or other legal process, to protect the safety of any person, or to protect our rights or property.

(c) Business transfers. If we are involved in a merger, acquisition, or sale of all or part of our business or assets, your information may be transferred as part of that transaction. We will require the buyer to protect it in a manner consistent with this Privacy Policy.

(d) With your consent. We may share information for other purposes if you ask us to or agree to it.

Except for the advertising tools described in Section 5, we do not share your personal information with other companies for their own marketing.

5. Cookies, Analytics, and Do Not Track

Cookies are small files that a website stores on your browser or device. We and our service providers use cookies and similar tools to make the Site work, remember your preferences, keep the Site secure, and understand how visitors use the Site.

Our Site uses tools provided by Squarespace, our website host, including its built-in site analytics, and security tools provided by Google.

Advertising. We advertise on Facebook and Instagram, which are run by Meta. We do not currently use the Meta pixel or similar advertising tools on our Site. If we add them, they will let Meta see information about your visit, such as the pages you view and the actions you take, so we can measure our ads and show them to people who may be interested. Before we add them, we will update this Privacy Policy and ask for your consent through a notice on the Site. Google, which provides security tools on our Site, may collect information about your online activities over time and across different websites when you use our Site. You can manage the ads you see in your Facebook and Instagram ad settings, and you can opt out of interest-based ads from many companies at optout.aboutads.info.

You can set your browser to refuse or delete cookies. If you do, parts of the Site may not work properly.

Do Not Track. Some browsers can send a "Do Not Track" signal to the websites you visit. The Site does not currently respond to Do Not Track signals.

6. Emails and Text Messages

Marketing emails. If you sign up for our emails, we will send you news, offers, and updates. Every marketing email has an unsubscribe link. After you unsubscribe, we will still send service messages, such as receipts, booking confirmations, and notices about your membership.

Text messages. If you agree to receive text messages from us, we may send booking reminders, schedule updates, and marketing offers to the mobile number you give us. You do not have to agree to receive marketing texts to buy anything from us. Message frequency varies. Message and data rates may apply. Reply STOP to unsubscribe or HELP for help. You can also contact us at heat@reheatstudios.com.

We do not sell or share your mobile number or your text message opt-in information with third parties or affiliates for their marketing purposes. We share it only as needed to deliver our messages.

7. Photos and Videos

We sometimes take photos and videos in the studio and may post them on the Site and our social media. We will use a photo or video in which you can be identified to advertise or promote our business only if you have given us your consent by signing the photo and video release in our Waiver. You can withdraw your consent at any time by emailing us, and we will stop using your image going forward and remove it from posts we control. We cannot remove copies that others have already shared.

8. How Long We Keep Your Information

We keep personal information for as long as we need it for the purposes in this Privacy Policy, such as while you have an account with us. We may keep it longer when we need to comply with the law, resolve disputes, or enforce our agreements. For example, we keep records of your consent to a membership's automatic renewal for at least three years, or one year after your membership ends, whichever is longer, as California law requires. We also keep signed waivers and related records for as long as needed to protect our legal rights.

9. How We Protect Your Information

We use reasonable administrative, technical, and physical safeguards to protect personal information. Stripe handles your payment card information, and we do not store full card numbers. No method of storing or sending information is completely secure, so we cannot guarantee security. If you think your account has been compromised, please contact us right away.

10. Your Choices

  • Review and update your information. You can review and update your account information at any time by logging in to your account on our booking platform. You can also email us to ask us to correct your information.

  • Get a copy or ask us to delete your information. You may ask us for a copy of the personal information we hold about you, or ask us to delete it, by emailing heat@reheatstudios.com. We may need to verify your identity first. We may keep some information when the law requires or allows it, such as purchase records, signed waivers, and consent records.

  • Marketing. You can unsubscribe from marketing emails with the link in any email, and from marketing texts by replying STOP.

  • Cookies. You can control cookies through your browser settings.

California residents. California law (Civil Code Section 1798.83) lets California customers ask a business about personal information it has shared with third parties for their direct marketing purposes. Except for the advertising tools described in Section 5, we do not share personal information with third parties for their direct marketing purposes. California residents with any question about our privacy practices may contact us at heat@reheatstudios.com.

11. Children

Our services are for adults 18 and older. The Site is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, please contact us and we will delete it.

12. Other Websites and Services

The Site links to and uses third-party websites and services, such as Mariana Tek, Stripe, and Instagram. Their privacy policies, not this one, govern the information you give them. We are not responsible for their practices.

13. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will post the updated version on the Site and change the "Last Updated" date at the top. If we make material changes, we will also tell you by email or by a notice on the Site before the changes take effect.
